Ricoh collects this Personal Information from our Website, which includes the use of third-party tracking and analytics services, including but not limited to Google Analytics and HubSpot, and Personal Information that is voluntarily provided to Ricoh by users who express interest in obtaining information about Ricoh, our products or services, career opportunities, or otherwise when contact us.

How We Use Your Personal Information (Purposes for Collecting Personal Information)

We collect and use this Personal Information to effectively maintain our business, manage our workforce, and achieve our core purposes and objectives. Such uses would include, for example, using Personal Information to:

• Facilitate account creation and manage customer accounts, including processing information to keep your account in working order;
• Send administrative, product, and service information, such as details about our products and services, changes to our terms and policies, or other similar information;
• Send user-to-user communications and marketing communications, including processing personal information provided with consent for marketing and sales purposes;
• Undertake quality and security measures, protect the health and safety of our workforce and others, and conduct risk and security control and monitoring;
• Conduct research, analytics, and data analysis to assist in marketing and sales activities and identify usage trends to better understand how our Website is being used for improvement purposes;
• Perform identity verification, accounting, audit, and other internal functions, such as internal investigations;

Disclosure or Sale of Your Information

We do not sell, trade, or rent Consumers’ Personal Information to others and we have not done so during the preceding twelve (12) months.

Your Rights and Choices about How We Use and Disclose Your Information

We strive to provide you with choices regarding the personal information you provide to us. Consumers have the right to request access to personal information (for free, twice per year), the right to request the deletion of personal information that the business holds on the Consumer, the right not to be discriminated against for having exercised their rights under the CCPA, and the right to opt-out.

Right to Access

You have the right to request that Ricoh disclose certain information to you about our collection and use of your Personal Information over the past 12 months. Once we receive and confirm your verifiable Consumer request (see Exercising Access, Data Portability, and Deletion rights, below), we will disclose to you:

• The categories of personal information Ricoh collects about you;
• The categories of sources of the for the Personal Information we collected about you;
• The business or commercial purpose for collecting or selling that Personal Information;
• The categories of any third parties with whom we share that Personal Information;
• The specific pieces of personal information collected about you (also called a data portability request);
• If we sold or disclosed your Personal Information for a business purpose, two separate lists disclosing:
  • Sales, identifying the Personal Information categories that each category of recipient purchased; and
  • Disclosures for a business purpose, identifying the Personal Information categories that each category of recipient obtained.

At this time, Ricoh does not collect or store any Personal Information relating to Consumers.

Right to Deletion

You have the right to request that Ricoh delete any of your Personal Information that we collected from you and retained, subject to certain exceptions. Once we receive and confirm your verifiable customer request (see Exercising Access, Data Portability, and Deletion Rights, below), we will delete (and direct our service providers to delete) your Personal Information from our records, unless an exception applies.

The Consumer’s right to deletion does not apply where Ricoh needs to retain the personal information in order to do any of the following:

• Complete the transaction for which we collected the Personal Information, provide goods or services that you requested, take actions reasonably anticipated within the context of our ongoing business relationship with you, or otherwise perform our contract with you.

• Detect or resolve security or functionality-related issues;

• Comply with the law (the California Electronic Communications Privacy Act (Cal. Penal Code § 1546 et. seq.));

• Conduct research in the public interest;

• Safeguard the right to free speech;

• Carry out any actions for internal purposes that the Consumer might reasonably expect.

At this time, Ricoh does not collect or store any Personal Information relating to Consumers.

Right to Non-Discrimination

Due to a Consumer exercising their rights under the CCPA, Ricoh will not:

• Deny you goods or services;

• Charge you different prices or rates for goods or services, whether through denying benefits or imposing penalties;

• Provide you with a different level or quality of goods or services;

• Threaten the Consumer with any of the above.

However, we may offer you certain financial incentives permitted by the CCPA that can result in different prices, rates, or quality levels. Any CCPA-permitted financial incentive we offer will reasonably relate to your personal information’s value and contain written terms that describe the program’s material aspects. Participation in a financial incentive program requires your prior opt-in consent, which you may revoke at any time.

Right to Opt-Out

The right to opt out under the CCPA allows Consumers the ability to direct a business not to sell their personal information to a third party.

At this time, Ricoh does not collect, store or sell any Personal Information relating to Consumers.

Requesting Access and Deletion

To exercise the access, data portability, and deletion rights described above, please submit a verifiable Consumer request to us by either:

Only you, or a person registered with the California Secretary of State that you authorize to act on your behalf, may make a verifiable Consumer request related to your personal information. You may also make a verifiable Consumer request on behalf of your minor child.

You may only make a verifiable Consumer request for access or data portability twice within a 12-month period. The verifiable Consumer request must:

• Provide sufficient information that allows us to reasonably verify you are the person about whom we collected personal information or an authorized representative.
• Describe your request with sufficient detail that allows us to properly understand, evaluate, and respond to it.

We cannot respond to your request or provide you with personal information if we cannot verify your identity or authority to make the request and confirm the personal information relates to you.

Making a verifiable Consumer request does not require you to create an account with us, as Ricoh does not offer personal accounts via our Website.

We will only use personal information provided in a verifiable Consumer request to verify the requestor’s identity or authority to make the request.

Response Timing and Format

We endeavor to respond to a verifiable Consumer request within forty-five (45) days of its receipt. If we require more time, we will inform you of the reason and extension period in writing.

We will deliver our written responses by mail or electronically, at your option.

Any disclosures we provide will only cover the 12-month period preceding the verifiable Consumer request’s receipt. The response we provide will also explain the reasons we cannot comply with a request, if applicable. For data portability requests, we will select a format to provide your personal information that is readily useable and should allow you to transmit the information from one entity to another entity without hindrance.

We do not charge a fee to process or respond to your verifiable Consumer request unless it is excessive, repetitive, or manifestly unfounded. If we determine that the request warrants a fee, we will tell you why we made that decision and provide you with a cost estimate before completing your request.

Data Security

We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure.

Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Website. Any transmission of personal information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures contained on the Website.

Cookies & Consumer Tracking

A cookie is a string of information that a website stores on a Consumer’s computer, and that the Consumer’s browser provides to the website each time the visitor returns. Ricoh does not use cookies and other technologies to help us identify and track Consumers, usage and access preferences.

Children's Privacy

Ricoh does offer any product or service to individuals under the age of 18. Ricoh does not intend any website, social media posting, or other promotional communication for use by individuals under the age of 18 and does not knowingly collect Personal Information from or about them.

Changes to Our Privacy Policy

For any changes we make to this policy, including making material changes to how we treat our Consumers’ personal information; we will post a notice of such changes on our website home page. The date this notice was last revised is identified at the bottom of the page. Your continued use of our Website following the postings of changes constitutes your acceptance of such changes.
